How much does an average VA cost?

A Virtual Assistant can vary a lot in terms of skills and experience level, however, our average VA is around $1,800 per month, fully loaded. By fully loaded we mean it includes the VA’s net salary, all local and federal taxes, accrued benefits, and our flat commission.

Do you have VAs ready to hire?

No. At Cápita Works we hire VAs based on your specific needs and requirements. This means that we recruit professionals only after we’ve met and understood what you’re looking for in terms of skills, experience, and personality.

How long does your recruitment process take?

For most positions, you can expect a 14-day recruitment cycle. In some very technical positions, such as web developers, the recruitment process can take longer. However, we’ll keep you informed of how the process is moving forward and we’ll be sending extraordinary candidates your way as soon as our sourcing team filters them.

Do you manage or supervise the employee’s work?

No. Once we hire an employee that has been approved by the client in the third and final interview, we become the Employer of Record and our client starts having direct communication with the VA. Therefore, it is up to the client to determine the best way to manage, supervise, and motivate their employee, the same way it would work with any other local employee.

Can I hire a part-time VA through Cápita Works?

Yes and no. Although we do offer part-time VAs (20 hours), we strongly recommend hiring full-time VAs (40 hours). In our experience, most of the clients we work with that started with a part-time VA wanted to bring the VA into a full-time position within 6 months of the relationship. However, we cannot guarantee that the VA will be available at that time.

What happens if I already have a VA working for me? Can I bring him/her into Cápita Works?

Absolutely. If you want to provide your VA with full benefits and increase your retention rate, bring him/her to us and we’ll become your Employer of Record.

Is my VA going to work from a physical office?

Not anymore. With the COVID-19 pandemic and the mandatory office shutdown, we spoke to our clients and VAs to better understand their expectations and remote work experience. 98% of our clients and VAs decided that they prefer to continue working remotely and take advantage of the savings, as this is more efficient for all parties.

  • 08
Are VAs fully equipped to work?

Of course. Every VA has access to a laptop and high-speed internet. However, some clients like to send their VA a company-owned laptop and accessories, and even some company swag, in which case you can ship everything to our office in San Diego and we’ll deliver it to your VA.

What does a fully loaded monthly cost mean?

When we give you the quote for a specific VA, we are giving you the total monthly cost which includes: net salary, employee and employer taxes, accrued benefits, our commission, and all additional benefits we provide (private insurance, training, social events, etc.). There are no surcharges or additional costs involved. We like to keep it simple and transparent.

Can a VA visit my office in the USA?

Yes! One of the great benefits of hiring a VA in Mexico is that most of our VAs are based in Tijuana, right at the border with the US, so if you ever need your VA to attend a meeting, pick up some documents, or join the Christmas party, your VA will likely be within driving distance or can hop on a flight right out of San Diego.

What does the typical VA look like in terms of professional experience?

Every VA we hire goes through a strict recruitment process, and there are things that all of our VAs share, i.e. they are all fully bilingual, hold a professional degree, and some even have past experience working or studying in the USA.

  • 12
Are VAs performing personal assistant functions exclusively?

No way! Although we know that VAs are associated with personal assistance or admin roles, our VAs have many different backgrounds, skills, and experience so we can find whatever type of professional you seek. In other words, you name it, we’ll find it.

  • 13
Can I interview a VA before hiring?

Of course! In fact, you must interview a candidate before hiring. The final step in our comprehensive recruitment process involves a third and final interview directly with our client, which happens after we send our client the candidate’s file. If, and only if, our client approves, we’ll send the services agreement and an offer letter to the candidate.

  • 14
    Is there a trial period?

Yes. Even though all candidates pass a screening process and our client makes the final call in the last interview, our clients have a 90-day trial period in which they can decide if they like the VA’s performance and integration to their own culture. If this doesn’t go well (for any reason), we can reactivate the search and replace the VA.
